Research & Information Services Specialist

Miller Johnson is seeking an experienced Research & Information Services Specialist for our downtown Grand Rapids office.  The Research & Information Services Specialist works closely with the Research & Information Services Manager in support of the Firm’s attorneys and staff with their legal and business information needs.

Job Requirements

  • Bachelor’s or Associate’s degree in legal studies, library, information and/or data science or certification from an accredited paralegal program required
  • Relevant library experience desired; law library experience preferred
  • Knowledge of the U.S. legal system and legal research resources required
  • Legal and/or business research experience, including stemming and use of search operators and connectors for complex searches required
  • Proficient in MS Office (Outlook, Word, Excel and PowerPoint)
  • Experience with PDF tools, HTML SharePoint, OneLog, and iManage FileSite preferred
  • Information management and data analytics experience, including usage metrics a plus
  • Strong interpersonal, verbal and written communication skills
  • Exceptional client service skills, discretion, and judgment to ensure client confidentiality
  • Able to think creatively to identify and implement proactive solutions
  • Able to be flexible and work collaboratively in a fast-paced, service environment
  • Efficient, diligent, organized and detail-oriented

Job-related Functions

  • Fields questions from attorneys and staff via email, phone, instant message, and in person and escalates when necessary
  • Responds timely to requests for cases, court filings, articles, and other documents, reaching out to other department staff for support when appropriate
  • Communicates with courts, document services, and other vendors as needed
  • Maintains online catalog and other departmental digital archives, repositories, and databases
  • Provides support and backup for the Research & Information Services Manager in regards to:
    • Conducting public record, legal, and business research using appropriate electronic resources for attorneys and staff
    • Creating new accounts and managing passwords for various electronic resources
    • Conducting orientations for new hires and facilitating trainings on research & information resources and services
    • Pulling detailed backup for research charges using vendor reporting tools
    • Maintaining the department’s intranet page for improved user experience
    • Interlibrary loans for materials outside the Firm’s holdings
    • Preparing usage reports for various research resources
    • Promoting department resources and services internally to maximize return on investment
  • Coordinates with and provides direction to the department liaisons in other offices as needed
  • Processes and distributes minimal print materials, along with shelving, loose leaf filing, inventories, and weeding of limited remaining print collection
  • Routing and auditing of current awareness materials, primarily digital format
  • Uploading updated forms to the network and notifying staff timely
  • Digitizing and other projects as needed at the direction of the Research & Information Services Manager
  • Identifies opportunities for process improvement as it relates to the position’s responsibilities
  • Keeps abreast of tools applicable to the position’s responsibilities; developments with current tools; and developments in research concepts, techniques, and methods
  • Participates in professional development through internal and external training and involvement in professional associations
  • May play a role in other information-related projects and initiatives, such as information governance, competitive intelligence, knowledge management, data analytics, data visualization, data cleaning, artificial intelligence-based solutions, etc.
